EBFA Manager Admin
Saturday Mornings @ Trevelyan, Windsor
Welcome to the East Berkshire Football Alliance admin page! Here you will find everything you need to know as a manager in the EBFA. From finding fixtures, to organising games and your post match admin duties. Use this as your one stop guide to the EBFA. Before you become a EBFA Manager, you must first complete your FA Courses and DBS Check. For more information on this, read our New Managers Guide HERE.
Finding Fixtures
The EBFA release a batch of fixtures at the start of the season, leading up to December, and then a second batch from December to the end of the season. These fixture lists are on the EBFA’s Got Sport page and are sent out in an email in advance of each batch commencing. For the latest fixture link, select the ‘Fixtures’ button at the bottom of this page beneath the ‘Resources’ title.
Contacting The Opposition
When you click in to each fixture, you will get an option to view the corresponding managers contact details. Follow the below information on what to do depending on if you are at home or away.
If you are playing at home, drop a message in your management chat asking for a member of club management to provide you with a kick off time. Once you have a KO time it is then your responsibility to reach out to the opposition manager using their details on the fixture list to confirm match times and location, use the ‘Matchday Sheet’ attached at the bottom of this article to send to every opposition you play, so they are aware of how to access the venue, but so they also understand our rules & regulation (no smoking, dogs etc…). It’s also good practice to use the ‘EBFA Match Confirmation Template’. Download this through the link below, and populate it with details of your match, and then send over to your opposition manager. Once the fixture has been agreed with your opponents, you then need to ask your own team for availability by putting the match details in your chat, alongside something like a poll. For all home games, club management (not team management - so not you!) will arrange referees and also pay them. The opposition will be expected to pay half to our referee in cash.
If you are playing away, await a message/email from your opposition manager during the week, where they will confirm the time & place of the match. Once the fixture has been agreed with your opponents, you then need to ask your own team for availability by putting the match details in your chat, alongside something like a poll. At the game, you will be expected to pay half of the referee fee in cash to the ref the opposition team provide. Referee rates can be found further down this article. Every month or so, fill out our referee fee claim form (linked in the managers area) to be reimbursed the ref fees you pay.
Before The Match
Export a team sheet from Got Sport. To do this, login using your managers login. From your dashboard, navigate to ‘Team Management’ and then select the ‘Matches’ tab. Find your upcoming game, select the 3 dots next to it and select ‘print match card’. Then select ‘photo’ and generate your team sheet for the game. Print this out to take to the game.
Once at the game, make sure to show the opposition manager your team sheet & player ID cards. If anything ever changes in your team (especially if someone new joins), if club management are aware, they should begin the process of registering the new player to reflect this change. If they are not aware, or have forgotten (it happens!) then please let them know. Only club management are able to register a new player. Make sure to also check your oppositions team sheet and player ID cards, to ensure they aren’t fielding anyone they shouldn’t be, this is particularly important for cup games.
If you are playing away, make sure you also pay the referee before the match, this is a league rule, and prevents managers from running off without paying after the match if they think decisions haven’t gone their way!!
During the match (or straight after if easier) fill out your Match Team Sheet. List your goalscorers and the referee name and marks.
Referee Fees
5 aside = £18 total (away matches pay half, £9), 7 aside = £22 total (away matches pay half, £11), 9 aside = £26 total (pay half, £13)
After The Match
Firstly, you need to upload a copy of your match team sheet, and submit the score of the game. This should be done soon after the end of the match. To do this, scan the QR code in the top right of your printed match team sheet. Input the Event PIN listed at the bottom of your team sheet when instructed. This will take you to a page where you can input the score of the game, and then also upload an image of your filled out match team sheet (select the blue text that says ‘Upload Game Sheet’).
After the match you also need to fill in a match report. This is where you submit the score of the match (again!), as well as give the opposition respect marks, and rate the referee. Find the match report form linked in the ‘Resources’ tab below.
